Visayas State University is excited to open AY 2022-2023—the first school year with full face-to-face classes since the start of the pandemic.

This page contains information on admission and enrollment of both incoming first-year students and continuing students. Enrollment procedures in previous semesters are updated to include a mandatory health assessment of all students entering the campus. We also lay down information about how to apply to campus dormitories.

Enrollment Procedure for Regular (Continuing) Students

Reminders:
Students with lacking/incomplete requirements during the enrollment in the previous semesters will be blocked in the CumulusOne. Thus, unless the required documents are duly submitted, enrollment of the student shall not be processed or approved. Contact your academic adviser and comply as soon as possible.

  1. Communicate with your academic adviser for pre-enrollment advising especially on the block number to follow upon enrollment. Check the link for your blocked schedule:
    • Second Year - (waiting for the class schedule)
    • Third Year - (waiting for the class schedule)
    • Fourth Year - (waiting for the class schedule)
    • NOTE: Remember to follow a SINGLE BLOCKED SCHEDULE. Otherwise, you will be classified as irregular for the current semester.

  2. Once you have your block number, go to myVSU Tolosa Student Portal at https://my-tolosa.vsu.edu.ph/auth/login.
  3. [Skip if done] Answer the vaccination survey. Data to be collected will be used in the implementation of the limited FTF classes. If status needs to be updated, just retake the survey found on your dashboard.
  4. [Skip if done] Students enrolled in the previous semester are required to evaluate the teaching performance of their instructors.
  5. Update your student information (email address, contact number, and present address) in the User Profile Tab by clicking on the Edit button. 
  6. Once done, proceed to the Enrollment Tab
    • Enter your non-dorm/present address.
    • Choose “Online” as your mode of instruction. For this 1st Semester, AY 2022-2023, Full face-to-face classes will be done for laboratory classes, but for lecture classes, faculty members may have the option for a blended face-to-face and synchronous or asynchronous online classes, but the latter must not exceed 25% of the total class meetings (OP Memo # 540, s. 2022). 
    • Answer the internet connectivity survey.
    • Once you answered all surveys, click the hollow square at the reCaptcha verification. If verified, a “check” mark will appear and the “enroll” button will turn from light green to dark green. Then, click the “enroll” button.
  7. You are now in the enroll/registration section. Change the sorting option from “All” to “Block”  and enter the block number assigned to you to search for the courses you need to enroll in.

  8. Click on the courses to enroll one at a time. Once all courses you intend to enroll in are highlighted, click the “Add’ button. Check on the total number of units enrolled against the block schedule provided for any discrepancy. 
    • If you have a course with LEC-LAB units, make sure to add one (1) lecture course and one (1) laboratory course. (e.g. Zool 11 is a 5-unit course, with 3 lecture units and 2 laboratory units. Choose one offering number of Zool 11 with LEC course type, and one offering number of the same with LAB course type).

  10. Once all courses to be enrolled have been added, your enrollment is now pending for review/validation and approval of your academic adviser. Allow them to validate your enrollment for 1-2 days.
    • CAUTION: NEVER click the “Withdraw” button if you do not intend to backout from your enrollment.
    • Reminders:
      • During the period of review/validation, keep yourself available online because there may be changes in your enrollment due to duplication, unfollowed block schedules, etc.
      • Merely adding your courses to the portal is not an assurance that you are officially enrolled. 
  11. Once validated and approved, a system-generated Temporary Certificate of Registration (T-COR) will be sent to your registered email and shall serve as your proof of enrollment. Keep this for future reference.
  12. Your academic adviser will print the Registration Form (RF), sign it, and forward it to the department clerk for consolidation, which will then be forwarded to the course in-charge at the Office of the Registrar for verification and printing of the COR. Validated CORs will be kept in the Student’s Permanent Record for future reference.
    • A request for the 1st copy validated COR may be made upon request of the student concerned free of charge. Succeeding copies entail applicable fees. 
  13. During the schedule for the validation of student ID, officially enrolled students are required to have their VSU Student ID validated by the Program in-charge at the OCR. Validated ID will be required to be presented, together with your vaccination card, upon entry to the University. No validation will be permitted beyond the schedule.

Enrollment Procedure for Irregular (Continuing) Students

Reminders: Students with lacking/incomplete requirements during the enrollment n the previous semesters will be blocked in the CumulusOne.   1. Communicate with your academic adviser for pre-enrollment advising especially on the offering numbers of the courses you need to enroll in during the general registration. Check the link for the offering numbers of courses in each class block:
    • Second Year - (waiting for the class schedule)
    • Third Year - (waiting for the class schedule)
    • Fourth Year - (waiting for the class schedule)
    • NOTE: Remember that all students are required not to exceed the maximum semester load. Unless, you have an approved overload form as advised by your academic adviser.

  2. Once you have your block number, go to myVSU Tolosa Student Portal at https://my-tolosa.vsu.edu.ph/auth/login

Enrollment Procedures for Returning Students (Returnees)

Important Reminder: To verify if the returnee has an approved readmission form, kindly communicate directly with your Department Staff as they have a copy of the approved readmission form.

Requirements for Readmission of Returnees 

* Readmission is a pre-enrollment process. Thus, no readmission form shall be processed or approved during the enrollment period.

* Enrollment of returnees is done by the Program in-charge (PIC).

CATEGORY A: Unenrolled students in the previous immediate semester

  1. Approved General Clearance
  2. Approved Leave of Absence 
    • LOA is filed every semester. Absence from the University without a formal leave of absence shall be a ground for non readmission and may result in the opening your slot to shiftees.
    • Application for LOA every semester starts on the first day of classes until 2 weeks before the start of the final exam week.
  3. Approved Readmission Form
  4. Original medical certificate issued by a licensed physician, with all laboratory results attached, stating that the student is fit to return to school and participate in learning activities.
    • Deadline of submission of a duly signed medical certificate with all laboratory results is 1 month after the enrollment period. Requirements are enclosed in a brown envelope with full name, student number, and degree program and year level.

CATEGORY B: Students with no approved LOA (classified as AWOL)

  1. Approved Letter of Intent for Readmission
    • Submission of Detailed Formal Letter of Intent for Readmission (addressed to the College Dean through the Department Head), and other requirements start on the first day of classes until the last day of the midterm exam.
      • Other requirements: 
        • Original copy of True Copy of All Grades (from all previous semesters).
        • Original Certificate of Good Moral Character
  2. Approved General Clearance
  3. Approved Leave of Absence
  4. Approved Readmission Form
  5. Original medical certificate issued by a licensed physician, with all laboratory results attached, stating that the student is fit to return to school and participate in learning activities.
    • Deadline of submission of a duly signed medical certificate with all laboratory results is 1 month after the enrollment period. Requirements are enclosed in a brown envelope with full name, student number, and degree program and year level.

  1. Program in-charge (PIC) checks/verifies the list of students with approved readmission and its attached documents.
  2. If the student has an approved readmission, the PIC, together with the academic adviser, evaluates the academic records of the returnees for the possible courses to be enrolled.
  3. Once done, the PIC proceeds with the manual enrollment of the returning student.
    Note: Returnees cannot enroll in their courses since they have no record from the previous semester; thus, a gap in their academic record/progress.
  4. If enrollment is approved, a system-generated Temporary Certificate of Registration (T-COR) will be sent to your registered email and shall serve as your proof of enrollment. 
    • Your action as enrollee/student ends here.
  5. Your PIC will print a copy of your COR, validate, and sign it. This will be kept in the Student’s Permanent Record for future reference.
    • A request for the 1st copy validated COR may be made upon request of the student concerned free of charge. A second copy may entail applicable fees. 
  6. During the schedule for the validation of student ID, officially enrolled students are required to have their VSU Student ID validated by the Program in-charge at the OCR. Validated ID will be required to be presented, together with your vaccination card, upon entry to the University. No validation will be permitted beyond the schedule.

Other activities to be done by the Returnees after enrollment:

  1. Once you receive your temporary COR via registered email address, go to myVSU Tolosa Student Portal at https://my-tolosa.vsu.edu.ph/auth/login
  2. Note: If a returnee does not have a student portal, refer to the process for the creation of a student account in myVSU Tolosa Student Portal here: https://bit.ly/2Z65org

Enrollment Procedures for Shiftees

(dissemination within Academic Advisers and Advisees only)

* For 2nd to 4th Year Continuing Students only

* Shifting is a pre-enrollment activity. Thus, no shifting application shall be processed or approved during the enrollment period.

* New VSU students are required to incur 1 academic year or 2 semesters before being eligible to shift to other degree programs. 

Note: Slot availability for shiftees depends on the number of returning students who did not file a Leave of Absence (LOA) and absorptive capacity of the department where his/her new program belongs to.
  1. Secure and fill out a form for Change of Course. Make sure to clearly state your valid reason for the change of course
  2. Have the shifting form signed by appropriate signatories. Concurrently inform your academic adviser for monitoring. 
  3. Your academic adviser will inform the Guidance Counselor for an evaluation and counseling session. Findings and recommendations of the GC will be forwarded to the academic adviser.
  4. If there are no changes on the decision of the student to shift, the academic adviser will inform the department staff to seek approval from the present Dean and the new Dean (of his new program) in proper sequence. If approved, the new Dean/Department Head must assign the student to his new academic adviser. From here on, the new adviser will be the one to process the application.
  5. Note: The Deans have the sole discretion to accept or reject the application to shift depending on several circumstances that may affect enrollment, faculty loading, block overload, among others.

    If the student wishes to remain in the program, the application to shift will be terminated. The shifting form shall be deposited for future reference. At the same time, the GC must be informed of the student’s decision. 

  6. Submit duly accomplished shifting form to the Assessment Office for possible outstanding balances. Proceed to the Collecting Office to pay for these balances, if any.  
  7. Submit form and present receipt to the program in-charge at the Registrar’s Office for the following changes:
    • Change of course; and 
    • Change of academic adviser
  8. Once changes are made, the student must follow the enrollment procedures for regular/irregular students from Step 1 to 11.
